Having three different databases is making the administration process a complete nightmare and places an huge administration workload on part time administrators. When members change their details they have to contact the administration team to manually make the changes.
The solution being developed by Arkom is based around a centralised membership database. All membership information is stored in one location and is made accessible to members and other systems by integrating the systems together rather than manually copying information around. This has the following advantages:
Members can update their details directly by logging into the website and making the changes themselves. The updated information automatically appears in the membership database.
Membership fees are taken automatically by direct debit. The new system produces a report that links to the direct debit system, when the debits have been taken membership records are automatically marked as paid.
The membership team is able to keep in touch with the members by generating group emails from the system, the next stage is to add in group text messaging to the system.
The solution uses the following technologies:
- Microsoft Dynamics CRM 2011 will be used as the membership database.
- MailChimp will be integrated with Microsoft Dynamics CRM 2011 for sending formatted email shots and monitoring click through and email open reporting.
- An SMS gateway will be integrated into Microsoft Dynamics CRM 2011 for sending text messages to the membership.
- The website will be integrated into Microsoft Dynamics CRM 2011 to allow members to self-serve their membership records
